When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

When visitors leave use our contact form on the site we collect the data shown in the contact form, and also the visitor’s IP address and browser user agent string to help spam detection.

Cookies

If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

  • Events you’ve attended: we’ll use this to, for example, to provide CPD certification where applicable
  • Location, IP address and browser type: we’ll use this for purposes like testing and improving our website for our users

We’ll also use cookies to keep track of event registration contents while you’re browsing our site.

When you register with our website or for individual events, we’ll ask you to provide information including your name, billing address, email address, phone number, credit card/payment details and optional account information like username and password. We’ll use this information for purposes, such as, to:

  • Send you information about your account and events you have registered for
  • Respond to your requests, including refunds and complaints
  • Process payments and prevent fraud
  • Set up your account for our website
  • Comply with any legal obligations we have, such as calculating taxes
  • Improve our website and event offerings
  • Send you marketing messages, if you choose to receive them

If you create an account, we will store your name, email and phone number, which will be used to populate the registration for future events.

We generally store information about you for as long as we need the information for the purposes for which we collect and use it, and we are not legally required to continue to keep it. For example, we will store order information for 7 years for tax and accounting purposes. This includes your name, email address and billing address.

We will also store comments or reviews, if you choose to leave them.

Who on our team has access

Members of our team have access to the information you provide us. For example, both Administrators and Event Managers can access:

  • Event Registration information like what was event you have registered for, when it was registered and where notifications should be sent, and
  • Customer information like your name, email address, billing information and event specific information e.g. dietary, accessibility requirements and personal choices for the event

Our team members have access to this information to manage the events, process refunds and support you.
